Everything you need to know to create your dream event with Epic Event Hire.

How quickly do you respond to quote requests?

Our goal is to respond to every quote request within an hour with a full quote. Sometimes that isn’t possible if we’re setting up for an event or it’s late at night, but rest assured we’ll be in touch as soon as possible. If you haven’t heard from us, please check your junk folder, as our quotes occasionally get caught by spam filters.

Is a deposit required to secure our date?

Yes, please. We offer a few flexible payment options:

  • Pay in full upfront
  • Pay a 10% deposit, with the balance due 14 days before your event
  • Split your payments monthly, with everything finalised at least 14 days before the big day

For corporate events, schools and councils, we’re happy to work with your standard payment schedule, just let us know what you need.

What areas do you service?

We’re based in South East Queensland and regularly service Toowoomba, Brisbane and the Gold Coast, but we also love a country road trip! We’ve travelled west to the Wandoan Camel Races and even snapped selfies near Chinchilla’s Big Melon. If you’re unsure whether we cover your location, just ask, we’ll do our best to make it happen.

How far in advance should we book?

We’re lucky to have lots of gorgeous items, and plenty of them, so we can handle multiple bookings on the same day. However, once a particular item, set of marquee letters or photo booth is booked, it’s unavailable for that date. If you have your heart set on something, we recommend booking as early as you can.

Some weddings book 18 months ahead, annual corporate galas often rebook at the end of each year’s event, while other clients are looking for finishing touches for this weekend. We’re happy to talk with you at any stage.

Do you deliver, set up and pack down everything?

Absolutely, that’s our thing! We take care of delivery, full setup and pack down so you can focus on enjoying your event. For quality and safety reasons, we don’t offer customer pickup. We handle everything to make sure it looks perfect and runs smoothly.

What time will you deliver and pick up the items?

We’ll work with you to organise delivery and pickup windows that suit you and your venue’s schedule. Sometimes we set up the day before, while other venues only allow access an hour before the event. Some are happy for us to collect the next day, but many prefer everything packed up at the end of the night. Tell us your venue and we’ll help make the timing seamless.

Can we customise the photo booth or marquee letters?

We absolutely love styling! Along with your custom photo strip and splash screen, the physical booth can be styled to suit your theme, with florals, signage or even custom decals. Our marquee letters also look amazing dressed with balloon garlands or creative decorations. If you have an idea in mind, let us know and we’ll help bring it to life.

How long is the hire period?

We quote per event, not by the hour. If you’re hiring our marquee letters or trees, they’re yours for the entire celebration; talk to us about events that run across multiple days. Photo booth quotes include a set run time, which we’ll confirm when quoting. Need extra time? Let us know and we can tailor the package to suit.

What happens if it rains?

Most of our equipment isn’t suitable for wet weather. Sparkulars cannot be used in the rain. Some photo booths can operate outdoors during light showers when an attendant is present and the appropriate rain cover is fitted.

Marquee letters may remain in position, but because they use 240V power, they must be switched off at the wall, not only with the remote, during and after rain. Safety always comes first, so an appropriate option for wet weather is best.

Do you offer packages or bundle discounts?

Absolutely, that’s kind of our thing! We love creating custom packages to suit each event. Pricing depends on the items you’re hiring and availability on your date, and the more you bundle, the better the value we may be able to offer. Tell us what you’re dreaming of and we’ll create a package that suits your style and budget.

What if we need to change our booking?

We understand that plans can change and we’ll always do our best to be flexible. If you need to move your booking to a new date or remove an item, we’ll try to accommodate the change, but existing bookings on the new date will take priority. The sooner you let us know, the more we can do to help.

What happens if I lose or damage an item?

We understand that accidents can happen during big celebrations. If something is lost or damaged during your hire, we’ll assess the situation and may need to charge a repair or replacement fee. We always aim to be fair and help sort things out smoothly.

Example replacement costs include:

  • Remote for a light up letter or number: $65
  • Letter or number bulb: $45 each
  • Photo booth props: signs $17; glasses $10
  • Light up letter or number: from $1,100

It’s extremely rare for us to charge for damage. Across thousands of events, we can count on one hand the times this has happened, and those involved clear, intentional damage.

Do I need to clean the equipment?

No need! We take care of all cleaning after your event. We simply ask that everything is treated with care during the hire. We’ll handle the rest so you can relax and enjoy your celebration.

Can I collect items myself?

For safety and quality reasons, we don’t offer customer pickup. Our team delivers, sets up and packs down every item to make sure everything is handled correctly and looks perfect for your event. Sit back and let us do the heavy lifting!

Do minimum hire charges apply outside your main service area?

For events on the outer edges of our standard service area, a minimum hire value or travel surcharge may apply. This helps cover the extra travel time, transport and staffing needed for longer distances. Any applicable minimum will be clearly shown in your quote.

If your total is close to the minimum hire value, we may suggest adding items so you receive more value from your investment. Send us the venue address and we’ll confirm availability and pricing.

What are cold spark Sparkulars, and how do they work?

Cold spark Sparkulars are special effects machines that create the look of indoor fireworks without using traditional pyrotechnics. There is no open flame and very little fire risk. In our testing, the sparks may create tiny black dots on very fine fabric such as lace or mesh, but paper will not ignite even when fully blocking the sparks.

Instead of flame or explosives, the machines use a controlled heating system to energise a specially designed granulated compound, producing a vertical shower of sparkling effects. The sparks are cool to the touch, produce little smoke and are designed specifically for safe event use.

The result is the dramatic look of fireworks in a controlled format that suits venues, weddings, corporate events and indoor productions. There are still safety considerations, mainly around eye protection, but they are an amazing way to create a huge moment.

Are Sparkulars real fireworks?

No. Sparkulars are not traditional fireworks and are not classified as pyrotechnics. They do not use gunpowder, open flame or explosive charges. Instead, they use a controlled electronic heating system to create a sparkling visual effect without combustion.

This is why they can be used safely at indoor venues and formal events where real fireworks would never be permitted. They deliver the drama without the firework risk.

Are cold sparks safe to use indoors?

Yes. Cold spark Sparkulars are specifically designed for indoor event use, provided venue approval is in place. They do not use open flame or explosive materials, and the sparks are cool to the touch, making them far safer than traditional fireworks. They also produce minimal smoke, which makes them suitable for ballrooms, reception venues and staged productions.

As with all special effects equipment, we operate them under controlled conditions, with trained supervision and clear safety zones, to ensure a safe and spectacular result.

Will Sparkulars set off smoke alarms or fire sprinklers?

Generally no, but there are some caveats. Cold spark machines produce very minimal smoke and no open flame, which means they are far less likely to trigger smoke detectors than traditional pyrotechnics or fog effects.

Every venue’s detection system is different. Very sensitive smoke detectors or beam detectors can still react under certain conditions, so we always recommend checking with the venue in advance. We’re happy to provide specifications or liaise with venue management if required.

Sprinkler systems are activated by heat and, because Sparkulars do not produce significant heat, they do not trigger sprinklers. Large venues may isolate fire alarms for the period they will be used. We’re also happy to complete hot work paperwork and work directly with the venue.

How high can the sparks go?

Our Sparkular machines produce a vertical spark effect approximately 3 to 3.5 metres high. This creates a strong visual impact for grand entrances, first dances, cake cuttings and stage moments, while still remaining suitable for most standard function venues.

We always check ceiling clearance and venue conditions beforehand to ensure the effect is both impressive and appropriate for the space.

How long can the spark effect run for?

The spark effect can run for short bursts or extended sequences, depending on the moment you want to create. Most events use Sparkulars in bursts of 10 to 30 seconds for key moments such as a grand entrance or first dance. The machines can be triggered multiple times throughout the event, provided the allocated consumable material allows for it.

We plan the timing with you in advance so the effect hits at exactly the right moment and delivers maximum impact. Hitting the moment the knife touches the cake, or when you share a lift in your dance, is exactly what we train for, and we love that moment!

Are you insured and venue approved for Sparkular use?

Yes. We carry public liability insurance that covers the use of Sparkular special effects equipment. We’re experienced in working with wedding venues, function centres and corporate spaces, and we’re happy to provide insurance certificates and equipment specifications if required.

We always recommend confirming venue approval in advance, and we’re more than happy to liaise directly with venue management so everything is compliant and organised well before your event date.

Do Sparkulars require council or venue approval?

In most cases, venue approval is required because Sparkulars are considered a special effect. Each venue has its own policies, so it’s important to confirm permission in advance.

Council permits are generally not required for private events held within approved venues. Public outdoor events or spaces managed by councils may have additional requirements.

We’re happy to provide technical specifications, safety documentation and insurance details to assist with approvals and ensure everything is cleared well before your event.

Can Sparkulars be used outdoors?

Yes, provided conditions are suitable. They must be positioned on a stable, level surface and cannot operate in wet or rainy conditions. Wind can also affect the vertical spark effect, so we assess outdoor environments carefully to ensure the result remains controlled and visually impressive.

For outdoor events, we always recommend having a backup plan in case of poor weather so your special moment can still go ahead without compromise.

When are Sparkulars typically used during an event?

Sparkulars are usually reserved for key highlight moments where you want maximum impact. Common uses include grand entrances, first dances, cake cuttings, award reveals and walking onto a stage. In corporate settings, they work brilliantly for product launches or major announcements.

Because the effect is dramatic and captures attention, it’s best used intentionally rather than continuously. We coordinate the timing with you, your DJ or your run sheet so the sparks fire at exactly the right moment for the biggest visual impact.

How much space is required for a photo booth setup?

Our attended photo booths require a minimum clear space of 2.5m × 2.5m, with 2.4m ceiling height for the backdrop. This allows room for the booth, backdrop, props and comfortable movement by guests.

Our 360 Photo Booth requires more space because of the rotating arm and guest movement. We recommend a minimum area of 3.2m × 3.2m.

In all cases, it’s important to allow additional space around the booth for guest flow, queuing and spectators. Photo booths naturally attract a crowd, so positioning them in an open, accessible area helps keep the experience smooth and fun for everyone.

How long does it take to set up and pack down the photo booth?

Most photo booth setups take less than one hour, with some simpler setups ready in as little as 20 minutes. We always allow plenty of time on arrival so everything can be set up carefully, tested and ready to go well before your event starts, keeping the experience smooth and free from stress.

Packing down usually takes less than 20 minutes.

Is an attendant included for the duration of the hire?

The 360 Photo Booth always includes an attendant to operate the booth safely and keep everything running smoothly. For our other photo booths, having an attendant is completely optional.

At weddings, many couples choose an attendant to greet guests, especially those less familiar with the technology, and to help keep the experience flowing. That said, we also understand some events prefer a more private feel with fewer unfamiliar faces.

Let us know your event style and setting, and we’ll help recommend the option that suits you best.

Do guests receive instant prints, or are photos digital only?

We offer a cheaper option with digital files only, but most of our photo booths include instant prints, which remain the most popular choice. When prints are included, we print a copy for each guest in the photo. If five friends step in together, each can take home their own print.

For weddings, we include an album for guests, supplied by us, and we also print an extra copy specifically for the album.

Our 360 Photo Booth provides digital files only by design. Videos are shared by SMS, a QR code download and an online gallery, making them easy for guests to save and share instantly.

How many prints can the photo booth produce during an event?

For photo booths with an attendant, printing is unlimited, with no limit on the number of sessions or prints throughout your event.

For unattended photo booth hires, each booth is supplied with a print roll capable of producing up to 800 prints. To prevent excessive printing, particularly from younger guests repeatedly reprinting the same photo, we limit unattended sessions to a maximum of four prints per session.

All unattended hires include options for sharing digital files, so guests can still view and save their photos even if they choose not to print. This keeps things fun, smooth and enjoyable for everyone while ensuring the booth lasts the entire event.

Can we customise the photo template with our names, date or branding?

Absolutely! We can fully customise your photo template with names, dates, colours and event details. If you have a colour theme or wedding invitation, you’re welcome to share it with us so we can use it as inspiration and ensure the design matches your event perfectly. Seen something you like? Share the image with us!

We love creating custom templates.

Are props included, and can they be themed for our event?

Absolutely! We always select appropriate props to suit the type of event. A 21st birthday will have a very different prop selection from a corporate function or school event.

If you have a specific theme, give us plenty of notice and we’re happy to find or create suitable props. For photo booths with an attendant, we include approximately 40 props. For unattended hires, we include around 20 props chosen to be fun and easy for guests to use throughout the event.

We’re constantly building our prop collection, so if there are particular styles you love, let us know!

Do you provide a digital gallery after the event, and how is it delivered?

Yes. All photos, videos, GIFs and Boomerangs are uploaded immediately to a private online gallery during the event.

You can share the gallery password with guests so everyone can view and download everything straight away, or keep it private and share it later when it suits you. This gives you full control over access while making it easy to enjoy and relive the memories after the event.

Can the photo booth be used outdoors?

Yes, some booths can be used outdoors subject to suitable weather conditions. Backdrops must be positioned against a solid wall, hedge or similar support, as gusts can turn them into very large sails when standing freely.

Rain or wet conditions are not suitable for photo booth equipment. If your event is outdoors, we always recommend having a covered or indoor backup location available to ensure everything runs smoothly.

What power is required to run the photo booth?

Each photo booth requires one standard power point. We carry extension leads to cover distances of up to 10 metres, but please let us know in advance if the power source is farther away so we can plan accordingly.

The booth has a very low power draw, using approximately 2 amps at maximum, making it suitable for venues, homes and temporary event setups without any special power requirements.

How far in advance should we book a photo booth?

We have multiple photo booths available, but once they are all booked, we’re fully committed and cannot take additional events. This can happen during busy dates throughout the year.

Weddings are often booked well in advance, sometimes up to two years ahead, especially for peak seasons and popular dates. Corporate events and birthdays may book a few months out, and bookings made at the last minute often depend on availability.

The best approach is simply to reach out and ask. We’re always happy to check availability and let you know what options are still open for your date.

Is the photo booth accessible for wheelchairs or mobility aids?

Yes. All of our standard photo booths are fully accessible, with open layouts, no steps and no trip hazards, making them suitable for wheelchairs and mobility aids.

The 360 Photo Booth is the only exception. It has a single step of approximately 20cm, and guests must stand unsupported while the arm rotates around the platform. For safety reasons, the 360 booth is not suitable for wheelchair users or guests who require mobility assistance.

We’re always happy to help position the most suitable booth so every guest can participate comfortably and safely.

Can guests choose not to share their photos digitally?

Absolutely. With live events, guests cannot access digital files from sessions they were not part of; however, anyone included in a photo or video can usually send it wherever they like.

If the event host chooses to share the online gallery password, the gallery becomes available to anyone it is shared with. In that case, you don’t have control over who views or downloads the images.

For guests who need to keep photos offline for legal or personal safety reasons, please let our attendant know. We can remove specific images or sessions from the online gallery or ensure they are not uploaded. During a live event this may not happen instantly, but we will action it as soon as practical.

Are the letters suitable for indoor and outdoor use?

Yes. Our light up letters and numbers can be used both indoors and outdoors, provided conditions are suitable. They’re designed for event use and perform well in typical outdoor settings.

For outdoor events, the letters must be placed on a stable, level surface and cannot be used in wet or rainy conditions. If rain is possible, we recommend an indoor or undercover backup location to protect the equipment and ensure safety.

Our light up letters are 240V appliances and must be turned off at the wall, not only with the remote, during and after rain. The letters can remain in place, switched off at the wall.

Can the bulbs be dimmed or the colour changed?

It’s one of our favourite features! Our light up letters can be dimmed and colour changed to suit your event atmosphere, with warm white, cool white, light pink, purple, red and more.

For most events, this is done quickly with the supplied remote control, allowing brightness and colour to be adjusted in seconds. This is especially useful for creating a softer glow during speeches or photography rather than having letters that are uncomfortably bright.

For stage productions or more complex setups, the letters can also be controlled via DMX and synchronised with lighting cues and other effects.

Turn the brightness up during daylight so the letters look illuminated, then lower it later for a soft, romantic look that can match the venue’s lighting.

Are the bulbs LED, and are they safe around guests?

Yes. All our light up letters use LED bulbs, which remain cool to the touch during use.

The letters are designed for use around guests at events; however, they are still a 240V electrical appliance. As with any powered equipment, we recommend reasonable supervision, particularly around young children, to ensure safe and enjoyable use throughout the event.

Do you deliver, set up and pack down the letters?

Yes, absolutely. We take care of delivery, full setup and pack down, so you don’t need to worry about a thing.

We work closely with you and the venue to lock in the best timing for bringing everything in and packing it down. In most cases, we pack down late after the event. For private properties, collecting the letters the following day is often the most suitable option. Just let us know what you’d prefer.

Can the letters be placed on grass, concrete or uneven surfaces?

Yes. Our light up letters can be installed on a wide range of surfaces. On grass, we use stands and ground pegs to keep everything secure. On concrete, pavers or other hard surfaces, we use discreet sandbags or weights where required. For indoor setups positioned against a wall, no additional support is usually needed.

We assess the surface at each event and secure the letters appropriately to ensure they remain stable and safe.
