Epic Event Hire TERMS AND CONDITIONS
1. About this Agreement
These Terms & Conditions apply to the hire of equipment and the supply
of services by Epic Event Hire (“Epic Event Hire”, “we”, “our” or “us”)
to the Customer (“you” or “your”). By paying a booking deposit,
accepting a quotation or allowing us to deliver or install equipment,
you agree to these Terms.
2. Quotes & Bookings
- Quotes are valid for 14 days unless otherwise stated.
- Equipment remains available to other customers until the booking
deposit is received.
- A booking is confirmed only after the required deposit has been
paid.
- Availability cannot be guaranteed until confirmation.
3. Payments
- Deposits are non-refundable.
- The remaining balance must be paid no later than fourteen (14) days
before the event unless otherwise agreed in writing.
- All prices are in Australian Dollars and include GST where
applicable.
- Overdue accounts may incur reasonable recovery costs.
4. Cancellations & Date Changes
- Deposits are non-refundable.
- Where possible, bookings may be transferred to another available
date within twelve (12) months.
- Payments already made become a booking credit and are not redeemable
for cash.
- If Epic Event Hire is unable to supply the booked services due to
reasons within our control, a full refund of monies paid for the
affected services will be provided.
5. Delivery, Collection & Venue Access
The Customer must ensure safe and reasonable access for delivery and
collection. Additional labour charges may apply where delays occur
because of restricted access, stairs, long carrying distances,
unavailable venue staff, locked gates, lifts or loading docks.
6. Setup Requirements
The Customer must provide: - Suitable, level installation space. - Safe
240V power within 10 metres where required. - Any venue approvals
necessary for hired equipment. Epic Event Hire may refuse installation
where conditions are unsafe.
7. Care of Equipment
The Customer agrees to take reasonable care of all hired equipment.
Equipment must not be: - climbed on; - sat on; - moved without
approval; - modified; - exposed to rain, flooding or excessive heat
unless specifically designed for those conditions.
The Customer is responsible for loss or damage beyond fair wear and tear
during the hire period.
8. Weather
Outdoor installations are subject to weather conditions. Epic Event Hire
reserves the right to relocate, delay or cancel installation where high
winds, heavy rain, unstable ground or other unsafe conditions exist.
9. Photo Booth Services
Epic Event Hire will use reasonable care to provide reliable photo booth
services. While equipment failures are rare, if an issue occurs we will
make every reasonable effort to repair, replace or provide an
alternative solution where practical.
10. Special Effects
Sparkulars, Dancing on Clouds, haze, smoke and similar effects remain
subject to venue approval, weather conditions and safe operating
conditions. Epic Event Hire may refuse operation if safety cannot be
maintained.
11. Damage & Loss
The Customer is responsible for the reasonable cost of repair or
replacement where equipment is lost, stolen or damaged beyond normal
wear and tear.
12. Equipment Failure
Epic Event Hire takes reasonable care to ensure equipment is clean, safe
and in good working order. Except where required by law, we are not
liable for losses arising from circumstances beyond our reasonable
control including venue power failures, weather events or venue
restrictions. Where practical we will repair, replace or substitute
affected equipment.
13. Liability
Nothing in these Terms excludes rights available under the Australian
Consumer Law. To the fullest extent permitted by law, Epic Event Hire’s
liability is limited to the resupply of services, replacement of
equipment or refund of amounts paid for the affected service.
14. Force Majeure
Epic Event Hire is not responsible for delays or failure to perform
caused by events beyond our reasonable control including severe weather,
floods, fires, road closures, government restrictions, pandemics or
other unforeseen events. Liability is limited to refunding amounts paid
for services that cannot reasonably be supplied.
15. Images & Marketing
Unless the Customer advises otherwise in writing before the event, Epic
Event Hire may photograph installed equipment and use those images for
promotional purposes. Customers may opt out at any time before the
event.
16. Privacy
We collect personal information only for the purpose of managing
bookings and providing our services. Information is handled in
accordance with applicable Australian privacy laws.
17. General
- These Terms are governed by the laws of Queensland.
- If any provision is found unenforceable, the remaining provisions
continue to apply.
- These Terms form the entire agreement between Epic Event Hire and
the Customer unless varied in writing.
Our Promise
We know your event is important. Our goal is to provide clean, reliable
equipment, arrive on time, communicate clearly and do everything we
reasonably can to make your event run smoothly. These Terms & Conditions
exist simply to ensure both you and Epic Event Hire understand our
shared responsibilities so there are no surprises.
